Scanning Services

Under the terms and conditions of the CLA Photocopying and Scanning Higher Education Licence, the University has permission to make digital copies of limited extracts scanned from printed books, journals and magazines that may be stored in a course repository, downloaded and printed out (paper-to-digital-to-paper) for delivery with reference to a cohort of students enrolled on a course of study.

Digital copies can only be made from either:

  • an original of the book, journal or magazine owned by the University, OR
  • a copyright fee paid copy of a chapter or article supplied by the British Library (see Off Prints Collection for more information about this)

that is either published in the UK or by a US Publisher that is not on the list of excluded US Publishers.

The following limits also apply:

  • either one complete chapter or 5% of a book
  • either one complete article or 5% of a journal issue
  • one paper of one set of conference proceedings
  • one report of a single case from a report of judicial proceedings
  • one short story or one poem of not more than 10 pages in an anthology of short stories or poems

The Licence also stipulates that the preparation and distribution of Digital Copies can only be carried out by the LRC Scanning Services. To uphold this stipulation and to ensure that there are no complications relating to the Data Reporting and Auditing procedures, academic staff are not permitted to make and upload digital copies of copyrighted material to their WebCT Modules.

Academic staff need only email the following details to CLAScanning@qmu.ac.uk and the LRC Scanning Services will do the rest.

  • Module code
  • Number of students
  • Module start date and end date
  • Title of book or journal
  • Title of chapter or article

Alternatively, simply email a bibliographic list to CLAScanning@qmu.ac.uk , and the LRC Scanning Services will check the suitability of the material for scanning.

If the material has been requested for a Module in a previous semester or Academic year, simply email the LRC Scanning Services to request that the material be uploaded for the current Semester or Academic year.

 

Please be aware that the following type of items cannot be stored on WebCT:

  • Digital copies of articles from journals that we have access to via our Ejournals subscriptions
  • Digital copies of chapters from Ebooks
  • Copyrighted material that is freely available on the internet for personal use
  • Personal copies of chapters or articles from items not in the LRC stock

There is no restriction for the uploading of Weblinks to WebCT. Using Weblinks is the easy way to provide access to material available on the internet and it bypasses any copyright restrictions placed on the material.

The LRC Scanning Service is happy to help academic staff find and upload Weblinks to such material on to their module sites on WebCT.

The Copyright Licensing Agency is able to carry out a copyright audit of all material included in WebCT at any time and with only four weeks warning. QMU may face heavy financial penalties or have our licence revoked if we are found to be in breach of our licence.

Off Prints Collection

The Off Prints Collection is a useful alternative option available to make more resources available for students and staff.

Academic staff who wish to make a journal article or book chapter, which either does not fulfil the requirements of the Photocopying and Scanning Higher Education Licence for scanning or is not in our library holdings, available to their students can request for the item to be added to the Off Prints Collection.

The LRC will then try to obtain a copyright cleared copy of the journal article or book chapter from the British Library. If the LRC is successful in obtaining a copyright cleared copy, then the item will be added to the Off Prints Collection. The item will then be available for borrowing from the LRC Service Desk.

The Licence permits us to make digital copies of copyright cleared journal articles or book chapters for use on WebCT.

Please complete the Off Prints Collection Request form if you would like to request for an item to be added to the Collection.
